Definition of Class

This position provides clerical and administrative support and assists sales managers to ensure customer satisfaction for The Inn at Ole Miss. The incumbent assists sales team with managing schedules and appointments, books hotel reservations and room blocks, coordinates details for group rooms, creates sales contracts and client lists, and manages calendars for hotel and alumni staff.

Examples of Work Performed

  • Maintains office services in accordance with normal operation procedures, including greeting visitors, answering telephone calls, and recording and responding to sales leads for new and existing groups and events.
  • Maintains filing system of group histories, sales contracts, rooming lists, group blocks, drop dates, and Banquet Event orders, client lists, and contact lists for departments and sports teams.
  • Prepares sales-related documents such as proposals, contracts, and event orders.
  • Assists with the coordination of guest hotel room blocks and group block extensions.
  • Conducts hotel site tours for social parties interested in booking including guest rooms, suites, and meeting spaces.
  • Requests and issues parking permits for event attendees.
  • Manages and maintains event calendars for distribution to hotel and alumni staff.
  • Distributes memos, contracts, resumes, room requests and amenities to relevant departments throughout the hotel.
  • Develops and maintains relationships with new and existing clients.
  • Serves as a liaison between sales managers and clients to ensure and promote a positive, professional experience.
  • Performs similar or related duties as assigned or required.

Essential Functions

  2. Creates and maintains sales contracts and client lists.
  3. Manages event calendars for hotel and alumni staff.

Minimum Education/Experience

Education:
Associate’s Degree from an accredited four-year college or university in Hospitality Management or a related field.

AND

Experience:
Three (3) years of experience related to the above described duties.

Substitution Statement: Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
