Definition of Class

This position plans, manages, implements, and provides oversight over a variety of administrative support functions for a large or complex department. The incumbent manages the planning and facilitation of events; prepares detailed reports, reviews account activity, and makes recommendations for departmental budget; provides supervision and guidance to support staff.

Examples of Work Performed

•    Organizes, maintains, and updates departmental records electronically and/or physically.
•    Attends faculty and department meetings, records minutes, and assists with voting procedures.
•    Supervises, trains and manages tasks for assigned support staff.
•    Supports the department chair in addressing faculty, staff, and student issues.
•    Authorizes and approves documents and forms on behalf of the department chair.
•    Processes student awards, coordinates student recruitment activities, and/or manages donor relations for scholarships.
•    Supports department administration in course scheduling.
•    Provides operational support and oversight of fiscal management for the department.
•    Analyzes reports, fiscal trends, and makes recommendations for the departmental budget.
•    Organizes and manages events for department guests, faculty recruitment, department programs, and other related events.
•    Creates and manages the departmental calendar for graduate exams, events, and meetings.
•    Manages procedures and logistics for the administration of graduate exams, including location, security and proctoring.
•    Composes and edits correspondence on behalf of the department chair.
•    Supports the development of proposals for externally funded grants and contracts.
•    Develops and implements departmental operating protocols and procedures and follows Quality Assurance Quality Control (QAQC) guidelines.
•    Serves as a liaison to faculty, students, alumni, university departments, and other internal and external constituents.
•    Provides oversight of website and social media outlets for the department.
•    Performs similar or related duties as assigned or required.

Essential Functions

Minimum Education/Experience

Education:
Bachelor’s Degree from an accredited college or university.

 

AND

 

Experience:
Two (2) years of experience related to the above described duties.

 

Substitution Statement: Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
