Definition of Class
This search is for a pool hire of five (5) research administrators. The positing will stay open until five positions are secured. They may be adjusted to RA I, II, or III depending on qualifications and experience.
This position manages and provides support for pre and/or post-award activities for an assigned portfolio of grants and contracts within a unit (school, department, division).
Administrator I:
The incumbent manages the operations and objectives of assigned portfolios; assists in the development, preparation, and submission of grant and contract proposals; ensures applications are in compliance with agency and university guidelines; and serves as a liaison between departmental, faculty, and external agents.
Administrator II:
The incumbent develops grant proposals and budgets, provides critical analyses and resolutions for multidisciplinary proposals, performs account reconciliations and forecasts award notifications, and serves as a liaison between departmental, faculty, and external agents.
Administrator III:
The incumbent develops and oversees grant proposals and budgets, provides technical and analytical support for program investigators, serves as a liaison between departmental, faculty, and external agents, and provides guidance and support for departmental staff.
Examples of Work Performed
- Assists departmental faculty/Principal Investigators (PIs) in the development, preparation, and submission of grant and contract proposals.
- Provides monthly sponsored account reports and balances, reviews expenditures for compliance, resolves accounting issues, and prepares projections for awards.
- Ensures all applications comply with agency and university guidelines including published time tables, deadlines, and management of the Just-In-Time process.
- Ensures proposals are entered and routed in a timely manner for further review and assists PI with adherence to account parameters, including billing and reporting requirements, budget, and cost sharing obligations.
- Confers with PI and pre-award and/or post-award support staff at collaborating institutions to secure necessary sub-award documents for proposals.
- Assists the PI in budget development and support to ensure accuracy.
- Reviews budgets for consistency with sponsor and monitors compliance with agency, State of Mississippi, and University regulations regarding submissions
- Advises the PI on preparation of proposal submissions, budget adjustments, and revisions necessary to meet the sponsor requirements.
- Coordinates and reviews proposal elements (bio sketches, current & pending support, facilities & resources, etc.) for consistency, accuracy, and completeness.
- Monitors proposal and award (non-financial/financial) status and advises PI on requirements and deadlines associated with reports, research protection and protocols.
- Works effectively with other offices (central, school, departments, divisions) on research proposals.
- Assists PI with navigating search tools and communicates funding opportunities and proposals.

Administrator I:

Administrator II:
- Manages pre-award and post-award administration of sponsored research activities.
- Develops grant proposals and budgets while ensuring compliance with federal, state, and University guidelines and regulations.
- Provides critical analyses and resolutions regarding large, complex budgets and multidisciplinary proposals.
- Prepares monthly reports and forecasts award notifications.
- Serves as a liaison between departmental, faculty, and external agents.
Administrator III:
- Manages pre-award and post-award administration of sponsored research activities.
- Oversees grant proposal routing and award management.
- Provides technical and analytical support to research and sponsored programs investigators and unit research administrators.
- Provides guidance and support for departmental staff.
- Serves as a liaison between departmental, faculty, and external agents.
Minimum Education/Experience
Administrator I:
Education: Bachelor’s Degree from an accredited four-year college or university in a related field.
Experience: Two (2) years of experience related to the above described duties.
Substitution Statement: Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
Administrator II:
Education: Bachelor’s Degree from an accredited four-year college or university in a related field.
Experience: Four (4) years of experience related to the above described duties.
Certification: Must hold the designation of Certified Research Administrator or Certified Pre-Award Research Administrator or obtain certification within 18 months of hire.
Substitution Statement: Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
Administrator III:
Education: Bachelor’s Degree from an accredited four-year college or university in a related field.
Experience: Six (6) years of experience related to research administration.
Certification: Must hold the designation of Certified Research Administrator or obtain certification within 1 year of hire.
Substitution Statement: Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources.
