Role Summary
Coordinates day-to-day fiscal, administrative, and operational activities of a defined, program or set of funded activities. Programs are usually focused to a single purpose, may be scientific, research, educational, or service oriented, and may exist as a subset of an integrated funded program activity. Duties typically include assisting with grant planning and administration, fiscal, budgetary, and/or other associated transactions, program implementation and administration, internal and external operational/administrative liaison, program marketing, and reporting.
The Coordinator for Summer and Special Housing will assist with managing administrative tasks associated with a robust summer conference program, summer housing for enrolled UM students, and special housing such as break housing, emergency housing, and short term housing. This role will maintain accurate records of students and guests utilizing conference, summer, and special housing and will support the recruitment of, on-site resources for, billing of, and evaluation of these residents. The Coordinator for Summer and Special Housing will also provide exemplary customer service to all students and guests in conference, summer, and special housing, assisting with check-ins and check-outs, answering questions, and addressing concerns.
Examples of Work Performed
- Updating data in StarRez housing management software system;
- Creating, updating, and collecting data in Google forms;
- Outreach to student and non-student housing residents, campus partners, and conference sponsors; communicating with internal and external campus partners regarding summer conference housing, summer housing, and special housing needs;
- Staffing check-in and check-out events; assisting in the supervision of undergraduate Summer Assistants;
- Walkthroughs to check for building readiness; attending summer staffing meetings and Operations team meetings;
- Working some evening and weekend hours, especially during summer conference and summer housing season (May through August).
Essential Functions

1. Assists in managing daily operations of the projects, programs or office to which assigned.
2. Establishes and/or maintains a recordkeeping system for programs, projects or office to which assigned and enters data into records or into system databases as appropriate and as needed.
3. Plans and develops methods and procedures for implementing projects.
4. Establishes and maintains productive relationships with state, federal, and private agencies as appropriate and as directed.
5. May coordinate events or conferences, from planning and advertising, to contracting for services from vendors, to registration and event completion.
6.Initiates contractual agreements between the University of Mississippi and outside agents for supervisors review and signature.

An equivalent combination of related experience and education may be considered for this role. Substitutions of the required experience or education will be assessed on a 1:1 substitution basis.
Preferred Qualifications
Master’s degree in Higher Education, Leadership, Business, Hospitality Management, or related field preferred. At least 1 year experience working in university housing preferred. Experience with StarRez or other housing management software systems preferred.
