Role Summary

The Manager of Operations serves as a key point of contact and the front-facing representative of the office, playing a versatile and hands-on role in daily operations. This position is responsible for managing office expenditures, coordinating the student intern program, leading staff recruitment efforts, and assisting with staff training—particularly in areas such as reimbursements and administrative procedures.

 

Success in this role requires the ability to multitask effectively, make quick and informed decisions, and work independently as a self-starter in a fast-paced environment. 

Examples of Work Performed

•    Administer and oversee day-to-day operational activities, including financial transactions, budget tracking, and expense management for department.
•    Develop, monitor, and manage departmental budgets
•    Assist with administrative functions such as coordinating meetings, managing correspondence, and maintaining accurate records and documentation.
•    Lead and manage the student intern program, including recruiting, hiring, onboarding, and scheduling of interns.
•    Lead office staff recruitment efforts by coordinating job searches, managing candidate communications, scheduling interviews, and supporting the hiring process.
•    Serve as a liaison between the department(s) and internal stakeholders, cross-functional teams, and external partners or vendors.
•    Assist in the creation, implementation, and enforcement of administrative policies, procedures, and best practices to ensure compliance and operational effectiveness.
•    Coordinate and support departmental projects and initiatives, including progress tracking, interdepartmental communication, and ensuring timely execution.

Essential Functions

These essential functions include, but are not limited to, the following.  Additional essential functions may be identified and included by the hiring department.

1. Administer and oversee day-to-day fiscal activities, including financial transactions, budget tracking, and expense management for the department(s).
2. Assist with administrative tasks such as coordinating meetings, managing correspondence, and maintaining records and documentation.
3. Develop and monitor departmental budgets, ensuring adherence to financial policies and procedures.
4. Support strategic implementation efforts by collaborating with departmental stakeholders to align operational activities with organizational goals and priorities.
5. Serve as a liaison between the department(s) and internal stakeholders, other departments, and external partners or vendors.
6. Conduct research and analysis to provide recommendations on operational and administrative improvement opportunities.
7. Prepare regular reports and presentations on departmental performance, financial status, and operational metrics for management and other stakeholders.
8. Assist in the development and implementation of administrative policies, procedures, and guidelines to ensure compliance and best practices.
9. Coordinate and support departmental projects and initiatives, including tracking progress, facilitating communication, and ensuring timely completion.

Minimum Education/Experience

Education: Bachelors Degree

Experience: (3) Three Years Experience
