Role Summary

Coordinates day-to-day fiscal, administrative, and operational activities of a defined, program or set of funded activities. Programs are usually focused to a single purpose, may be scientific, research, educational, or service oriented, and may exist as a subset of an integrated funded program activity. Duties typically include assisting with grant planning and administration, fiscal, budgetary, and/or other associated transactions, program implementation and administration, internal and external operational/administrative liaison, program marketing, and reporting.



- Lead the coordination of BACS orientation and provide support for BACS student advising.
- Provide general administrative, operational, and fiscal support for the department.
- Maintain and process event planning and classroom logistics.
- Support departmental communications, maintain records, and coordinate faculty onboarding processes.
- Manage department resources such as key inventory, room reservations, and internal data tracking.. 

Examples of Work Performed

  • Coordinate with faculty to hire lab TAs, graders, and tutors.
  • Manage student employees and coordinate their work schedules; approve hourly timesheets in SAP (transitioning to Workday and Banner in the near future).
  • Plan and support departmental events, including seminars, meetings, orientations, and special functions.
  • Schedule classrooms and manage department room reservations; provide logistical support for events and conferences.
  • Maintain and process course scheduling tasks such as event planning (twice a year), increasing/decreasing section capacities, and adding/removing courses.
  • Manage the Admin Request Google Form and handle student-related requests such as course overrides and class additions.
  • Assist with student advising functions, including new BACS student orientation, BACS advising, creating student files, and using internal systems to run reports.
  • Provide administrative support for personnel processes, including interview coordination and onboarding logistics.
  • Serve as a key administrative contact: screen department emails, respond to inquiries, and answer or route phone calls.
  • Manage departmental key inventory and assign space for graduate students.
  • Support data collection, tracking, and reporting for department operations, including graduate student data for the Summer Tuition Scholarship.
  • Support the department chair and faculty in managing student issues and completing administrative forms.

Essential Functions

These essential functions include, but are not limited to, the following.  Additional essential functions may be identified and included by the hiring department.

1. Assists in managing daily operations of the projects, programs or office to which assigned.
2. Establishes and/or maintains a recordkeeping system for programs, projects or office to which assigned and enters data into records or into system databases as appropriate and as needed.
3. Plans and develops methods and procedures for implementing projects.
4. Establishes and maintains productive relationships with state, federal, and private agencies as appropriate and as directed.
5. May coordinate events or conferences, from planning and advertising, to contracting for services from vendors, to registration and event completion. 
6.Initiates contractual agreements between the University of Mississippi and outside agents for supervisors review and signature.
