Department Summary
The University Counseling Center (UCC) is a dedicated team of professionals working to support the needs of UM students and the campus community. This position is a critical member in representing the services and support that we offer. The position provides face to face interactions with students, departments, and organizations in a supportive and caring work environment. At the UCC, we pride ourselves in working collaboratively, offering support to one another, and improving the wellbeing and growth of our campus community.

Role Summary
Provides complex administrative support to a department or group of professionals in support of unit goals.
The candidate collaborates with University Marketing & Communications staff to ensure that the university's brand is applied consistently across UM-produced materials; serves as the internal contact to edit and maintain UCC website; monitors the preparation of social media posts; manages day to day operational functions of outreach event planning; coordinates the planning and execution of Mental Health First Aid trainings; collaborates with internal and external clients to ensure events spaces are reserved; coordinates and communicates important calendar dates throughout the event planning process; provides information to increase awareness of the services available; represents UCC at on and off-campus events; collaborates with university departments to oversee departmental outreach through tabling and presentations.

- Coordinating monthly Mental Health First Aid trainings on campus
- Tracking data for MHFA trainings for the Chancellor's Grove Wellbeing Initiative
- Receiving and responding to outreach requests daily through email
- Creating marketing material (flyers, social media posts) monthly to promote events
- Bi-weekly staff meetings to promote upcoming outreach opportunities/requests to staff
- Attending tabling events on campus to promote the UCC's services and resources
- Tracking and coordinating UCC representation at all orientation sessions (weekly)
- Working with external vendors and internal departments to create marketing materials
Essential Functions
These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the hiring department.
1. Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations.
2. Serves as a first point of contact for individuals and groups, greets arrivals, and provides basic organizational information via phone, in person, and through other communication mediums, routing more complex inquiries to the appropriate entities.
3. Processes, enters, tracks, and reconciles financial transaction and human resources data.
4. Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums.
5. Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision.
6. Maintains organization and updates physical and electronic records related to work operations according to established policies and procedures.
Minimum Education/Experience
Education: High Schools Degree or GED
Experience: (3) Three years of related experience
An equivalent combination of related experience and education may be considered for this role. Substitutions of the required experience or education will be assessed on a 1:1 substitution basis.

Bachelor's Degree preferred
