Definition of Class

These positions are designed for individuals who are interested in sporadic, short term employment with the University. Positions will not become permanent as they are meant to alleviate any strain put on departments by special projects, abnormal workloads, emergencies, and employee absences. These positions are not benefits eligible. Most will range in duration from one day to one week. Individuals will not be allowed to work more than 4.5 months (cumulative) in a calendar year (January 1 - December 31). As departments need temporary relief, the University Employment Office will contact individuals who meet the skill requirements of the particular position. This employment can be terminated at any time. The Department of Human Resources schedules the interviews and provides any necessary skills testing.

Examples of Work Performed

  • Screens all incoming correspondence and routes to appropriate individual or department and may compose replies for approval or signature of supervisor.
  • Answers telephone, takes messages, answers departmental inquiries and assists in problem solving in accordance with general instructions.
  • Transmits instructions or information to and from staff members; prepares travel authorizations and reimbursements for the department.
  • Schedules meetings, arranges appointments, and makes travel reservations as requested.
  • Prepares forms and purchase requisitions, monitors departmental budget.
  • Orders and inventories office supplies and equipment when necessary.
  • Organizes and prioritizes workload within the department.
  • Performs related duties or similar as required or assigned.

Essential Functions

These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the hiring department.

  1. Performs complex secretarial duties such as transcribing dictation, typing, compiling information, maintaining records and filing systems, and answering the telephone.
  2. Schedules meetings, arranges appointments, and makes travel arrangements.
  3. Orders and inventories office supplies and equipment.
  4. Monitors departmental budget.

Minimum Education/Experience

Education:
Graduation from a standard four-year school of equivalent (GED).

 

AND

 

Experience:
One (1) year of experience related to the above described duties.

 

Substitution Statement: Related experience may be substituted for education, on a basis set forth and approved by the Department of Human Resources
