Definition of Class

This position will work with the Office of the Provost and perform work related to the needs of the division. Work requires basic technical skills and good judgment.

Examples of Work Performed

Responsibilities include, but are not limited to:
•    Greeting all visitors warmly, politely, and professionally.
•    Assisting in answering phone calls; answering basic questions and/or referring visitors or callers to the appropriate person in the Office of the Provost or within Academic Affairs.
•    Assisting in monitoring, ordering, and restocking office supplies.
•    Stocking/cleaning kitchen.
•    Receiving and distributing mail.
•    Assisting with administrative work as needed. This may include maintaining spreadsheets; filing documents, copying, or scanning documents, etc.
•    Assisting with special projects.
•    Assisting in running errands/making deliveries as needed.
•    Supporting the efforts of the Office of the Provost in general, as necessary.

Essential Functions

Expectations of the position, including but not limited to:
•    Adhering to student worker guidelines.
•    Maintaining confidentiality.
•    Arriving to work on time and staying through the shift as determined.
•    Being available to work 20 hours per week, over the course of at least 4-5 days.
•    Notifying all Executive Assistants in the event of absence, due to illness or other acceptable reasons, prior to the start of the work-shift.
•    Completing timesheets and other requisite documentation in a timely manner per the policies of the Office of the Provost and the university.
•    Maintaining a professional and friendly disposition at all times when at the office.
•    Keeping cell phones on silent while at work at the Office of the Provost.
•    Maintaining focus on the responsibilities of the job while at work.
Training and Development:
A designated Provost Office staff member will provide training on office policies, procedures, and specific responsibilities.

Minimum Education/Experience

Qualifications include, but are not limited to:
•    Good written and verbal communication skills.
•    Ability to handle a variety of responsibilities and switch gears on short notice.
•    Good computer skills, including Excel and mail merges.
•    Strong organizational skills.
•    Experience in the above described responsibilities.
